Refunds, Cancellations & Project Changes

How project cancellations, scope adjustments, milestone settlements, and refund requests are handled at Web Tattva.

Last Updated: March 2026•Policy Version: 2.3•Bilateral Milestone Governance
Statutory Rights & Contractual Alignment

Nothing in this policy is intended to exclude or limit any rights that cannot lawfully be excluded or limited under applicable law. Where an executed proposal, statement of work, or contract defines specific cancellation or refund terms for an engagement, those agreement provisions govern.

SECTION 01

Project Cancellation Before Work Begins

If a Client requests project cancellation in writing before any substantive architectural discovery, wireframing, design drafting, or code authoring has commenced:

  • Any initial deposit paid will be refunded, less direct administrative and banking/payment processing fees incurred in setting up the engagement;
  • Direct third-party costs already incurred (such as domain registration or non-refundable commercial font licenses) will be deducted from the refunded sum;
  • Refunds are remitted to the original payment source within reasonable commercial banking turnaround targets.
SECTION 02

Cancellation After Work Has Started

Because custom digital engagements involve dedicated engineering sprints, designer allocations, and custom code generation, cancellations requested after work has started are evaluated based on project milestones:

Work Already Performed

Fees corresponding to completed and delivered milestone stages (e.g. approved design concepts, component tokens, wireframes) are earned and non-refundable.

Committed Resources & Sprints

Where active development is underway within an agreed milestone, the refundable portion of uncompleted work will be prorated based on logged hours and committed team capacity, subject to the project agreement.

Third-Party & Non-Recoverable Expenses

Any specialized software subscriptions, API credits, stock photography, or asset licenses procured specifically for the Client remain non-refundable.

SECTION 03

Change of Scope & Project Adjustments

If project requirements change during the design or development phase:

  • Additional features, page volume expansions, custom backend logic, or third-party integrations outside the agreed Scope of Work are estimated and quoted separately;
  • Scope reductions requested after work on that module has commenced do not automatically reduce the fee for already completed tasks;
  • Approved scope adjustments will specify any timeline revisions and commercial modifications in a written Change Order or revised proposal.
SECTION 04

Delays Caused by Client Inputs

Digital engineering requires timely bilateral coordination. Project timelines and scheduled launch dates may be extended if delays occur in receiving:

  • Factual copywriting, branding assets, and high-resolution media;
  • Milestone feedback and formal design/staging approvals;
  • Required third-party account credentials, DNS access, or API keys;
  • Critical commercial or architectural decisions.

If a project is paused for more than 45 consecutive days due to client inaction, Web Tattva may re-schedule development based on engineering availability when the project resumes.

SECTION 05

Third-Party Costs & External Fees

Fees paid to external providers (including domain registrars, cloud edge hosting platforms, email API gateways, payment processing partners, stock asset vendors, and paid fonts) are governed exclusively by those providers' refund policies.

Web Tattva cannot issue refunds for third-party disbursements where the external provider does not grant a refund.

SECTION 06

Digital Deliverables & Completed Work

Once a milestone deliverable or staging build has been formally reviewed, approved in writing, or deployed live to production, that milestone is deemed complete and non-refundable. Post-launch issues or code anomalies within the agreed scope are addressed under our warranty provisions or active care agreements.

SECTION 07

Care & Maintenance Plans

For recurring website care agreements and monthly retainers:

  • Clients may cancel recurring care plans in accordance with the terms of their plan (typically with 30 calendar days notice prior to the next billing cycle);
  • Unused monthly support hours within a billing cycle do not roll over or convert to monetary refunds unless explicitly specified in the written agreement;
  • On-demand task blocks are non-refundable once engineering effort has been expended on the requested task.
SECTION 08

Refund Request Process

To request a project cancellation or submit a formal refund inquiry:

1. Send an email to finance@webtattva.com with the subject line “Cancellation / Refund Request — [Project Name]”.

2. Include your project reference, invoice number, and the specific reasons for the request.

3. Our finance team will review the project milestone log and respond within 3–5 business days with an itemized statement.

SECTION 09

Dispute Resolution & Escalation

We value constructive, fair partnerships. Before initiating any formal legal or payment dispute, both parties agree to engage in good-faith commercial discussions to resolve any billing concerns or delivery discrepancies amicably.

You may contact our studio leadership directly at hello@webtattva.com for escalation.

SECTION 10

Governing Terms & Written Agreements

This policy outlines Web Tattva's standard commercial refund and cancellation protocols. Specific proposals, statements of work, or contracts may contain customized cancellation provisions tailored to particular project complexities. In the event of an inconsistency between this website policy and an executed project agreement, the terms of the project agreement prevail.
